Job Description
Supervise and support office administration, reception, corporate security as well as facilities & services functional team
Office Admin and FAS operational procedures administration.
Administration of 3M Hong Kong company stamp usage
Liaison with internal and external legal counsels to manage statutory, admin, operational and special project signatory or contract review process when there is a need
Implement corporate facilities and services strategies and programs. Require communicating and working with stakeholders and employees to smooth out process of execution
Administrator of tenancy agreements for main office and sample storage unit to ensure adequate and cost-effective facilities to support business operation. Key contact for landlords and management offices
Facilities and office administration AFE, if needed, and annual budget planning and management
Member of crisis management to execute crises response and safety measures, such as COVID hygiene measure, for protecting the company and employees
Help and back up teammates to prepare site and facilities for meetings, to support reception duties, to handle routine sample delivery logistic process and provide other supporting services
Work with teammates to manage necessary routine tests, cleaning and maintenance for sites and facilities. Ensure vendors’ services and performance, including but not limited to AV system, cleaning services and security system, etc. at our defined standards
Handle site renovation and relocation when there is a need
Keep good communication and reporting with global and local business and functional departments by emails as well as online and onsite meetings. Attend teleconferences out of normal office hour is required.
Review office admin workflow and internal procedures in central policy from time to time to ensure efficiency and effectiveness
Provide necessary ad hoc response and support in case of urgency, including weekday and weekend and non-office hour period
Perform any ad-hoc projects assigned by supervisors
External Hiring Requirements
University graduate
10 years or above office administration experience with at least 5 years in supervisory role
Strong communication and influence skills
Excellent written and spoken English. Fluent Cantonese and Putonghau
Solid experience in vendor and office facilities management
Office site leasing and relocation project experience preferrable
A good team leader with support service attitude
