he ideal female candidate will be able to effectively coordinate meetings and other office events. She should be comfortable answering inbound phone calls, distributing mail to employees, and handling outgoing mail. Also should possess a friendly demeanor, so they can effectively interact with office visitors and interview candidates.

KEY ROLE & RESPONSIBILITIES:
Managing an efficient office releasing quality time by screening all incoming matters and diverting them to relevant Managers / external end-users.
Act as a secretary in respective meetings for taking minutes and follow-up matters on behalf of the executive manager.
Manage visitors/customers/employees to the office and directs them to the appropriate individual.
Arrange travel, meetings, and appointments for the Executive Manager.
Establish standards and procedures.
Organize office operations and procedures.
Compose and type routine correspondence and memoranda using word processing software and manage correspondences.
Design and ensure filing systems are maintained and up to date.
Ensure protection and security of files and records.
Coordinate and organize office activities
Oversee stock of office supplies
Coordinate inbound and outbound office mail
Support HR in scheduling meetings, interviews, and events

Knowledge:
Knowledge of office administration.
Ability to maintain a high level of accuracy in preparing and presenting the information.
Knowledge of modern business communication, including style and format of letters, memoranda, minutes, and reports

Skills:
Excellent interpersonal skills.
Excellent telephone demeanor.
Decision-making skills.
Effective verbal and listening and written communications skills, Arabic and English plus Kurdish.
Attention to detail and high level of accuracy.
Stress management skills, time management skills.
Personal Attributes:
Ability to establish priorities, work independently, and proceed with objectives without supervision.
Be honest, respectful, presentable, and mature.
Willing to work long hours. Perform other related duties as required and willing to work overtime, holidays, and weekends as needed.

Qualifications:
Experience with administrative and clerical work Proficiency in Microsoft Office suite
Strong communication skills
Strong ability to multitask
Friendly and upbeat demeanor
A University Graduate with a minimum of 5 years as an Office Manager in a large organization or Diploma in Business Management, Public Administration with over 10 years experience in a similar capacity
